Microsoft Outlook - Create a Data File (.olm) Outlook 2016 for Mac

If your mailbox is near the storage quota, messages can be archived to an Outlook Data File (.olm) as well as older messages and items that you do not regularly use.

  1. On the Tools tab above the ribbon, click Export.

NOTE: If you do not see the Export button, you may need to update to the latest version of Outlook. From the Help menu, click Check for Updates. If there is an update available, you will need to either go through ServiceNow and submit a ticket or call the IT Service Desk. More information is available on the Office 365 ProPlus service page.

  1. From the Export to Archive File (.olm) window check items you want to export, and click continue.
  2. In the Save archive file (.olm) as window choose the download folder, and click Save.
  3. Once you receive a notification that your data has been exported, click Finish.

PLEASE NOTE: If you have a Microsoft Exchange account or directory services account, contacts from the directory are not exported as well as public folders. An Outlook for Mac data file does not contain account settings or your Outlook preferences.
