UTRGV Messenger – Frequently Asked Questions (FAQs)

UTRGV Messenger is the university’s digital bulletin platform used to share news, events, and important updates with the campus community.

General FAQs (Viewers and Submitters)

Who can view content on UTRGV Messenger?
UTRGV Messenger is a public‑facing webpage. Anyone can view approved bulletins using a mobile or desktop web browser.

Who can submit bulletins to UTRGV Messenger?
Only UTRGV employees, including student employees, can log in and submit bulletins.
Student employees should receive guidance from their department supervisor or student group sponsor before submitting bulletins on behalf of a department or organization.

Who approves submitted bulletins?
All submitted bulletins are reviewed and approved by someone in your designated approver group, such as your department, division, or college.
You can view the current list of approvers on the UTRGV Messenger Help page: View Messenger approvers and help resources

Why can’t I publish a bulletin for the next workday?
Bulletins must be submitted at least two business days before the requested publish date. This helps:
  • Encourage thoughtful and well‑planned content
  • Allow approvers enough time to review submissions

Exception:
This requirement does not apply to bulletins submitted under Policies & Procedures, which may include urgent or high‑level information affecting the UTRGV community.
Bulletins submitted for next‑day publishing under Policies & Procedures must confirm that the content is relevant to that category. Content that does not meet the criteria may be disabled, and repeated misuse may result in loss of posting privileges.

Why can’t I post the same bulletin on consecutive days?
Each bulletin that appears in the daily Messenger email must have a unique subject line. This helps keep the email content fresh and engaging.

You may:

  • Duplicate a bulletin
  • Update the subject line
  • Resubmit it for a later date

Example:
A bulletin with the subject line “Do you like UTRGV Messenger?” is scheduled for Monday.
If the duplicated bulletin is scheduled for Tuesday, it must use a different subject line, such as “Survey: Do You Like UTRGV Messenger?”.
The earliest the original subject line can be reused is Wednesday.

Bulletin Content and Display

What size should my thumbnail image be?
Custom thumbnail images must be sized: 165 pixels (height) × 200 pixels (width)

Why isn’t my bulletin showing with a thumbnail in the daily email?
To limit email length and improve readability:
  • Each daily Messenger email includes a randomized selection of three (3) new bulletins per category with images.

Even if your bulletin does not display with an image in the email:

  • It may still appear with the thumbnail on the UTRGV Messenger website.
  • Bulletins on the website are randomized each time the page loads.

What if my bulletin does not fit any available category?
All bulletins must be assigned a category. If you are unsure, select the most relevant option below:
  • Events - University‑related events such as concerts, performances, athletics, exhibitions, or fundraisers.
  • Around Campus - Campus news, achievements, shoutouts, surveys, contests, research opportunities, or volunteering.
  • Policies & Procedures - New or updated policies, processes, and procedures that affect the UTRGV community.
  • Training & Workshops - Trainings, workshops, conferences, or speaker sessions.
  • Safety & Health - Health and safety updates, initiatives, and medical‑related news or events.
  • Newsletters - Department, college, or division newsletters shared with a broader audience.
